Google Workspace at UD

Google Workspace is UD's integrated communication and collaboration suite.  Based on the Google Apps for Education offering to higher education and K-12 customers, it is a robust (and ad-free) "business" version of the free consumer Google applications. Google Workspace accounts are provided to all UD students, faculty, and staff upon enrollment or employment.

In addition to the core Google services that UD has deployed, there are several application add-ons available. Users may request that we incorporate a Google add-on into our UD Google environment.  Learn more about Google Add-Ons.

Notification of feature changes to Google Workspace 

UD Google Apps is 100% web-based, so features are added/removed based on Google’s release timeline. UD follows Google’s Scheduled Release track, which means changes to features are made on Tuesdays only, at least one week after the feature was released to the Rapid Release track (i.e., free consumer accounts). So you may notice a feature change in a personal Google account prior to seeing the feature change in your UD Google Apps account.  See information on upcoming releases or view the Scheduled Release calendar
 

Access

  1. Go to http://porches.udayton.edu.
     
  2. Login with your University of Dayton username and password and 2FA credentials.

    If you forget your UD password, reset it at the Password Self-Service site.
     
  3. To access Gmail, click the UD Email link on the right sidebar. To access UD Calendar, scroll to the bottom of the Porches homepage and click the Calendar link.

  • Gmail - includes email storage and search tools 

  • Calendar - for individuals, groups, rooms and resources 

  • Chat - instant messaging and file transfer 

  • Contacts - your personal contact list 

  • Drive - online documents (word processing, spreadsheets, forms, presentations) and file storage

  • Groups - distribution lists (for messaging and access control)

  • Jamboard - Google’s whiteboard which is connected to the Google Workspace applications.
    NOTICE: Google Jamboard will no longer be available after December 31, 2024.

  • Sites - limited access web site for group collaboration

Google Workspace Add-Ons

UD has deployed most Google Core Services: Gmail, Calendar, Drive, Groups, Sites, Chat/Hangouts, Meet, Jamboard and Keep. Dozens of additional services and hundreds of Google Marketplace apps are also available as optional additions. The following add-ons have been installed for all UD Google Workplace accounts:

  • Blackbaud for Gmail
  • Lucidchart Diagrams
  • Zoom for Google Workspace

The following approved add-ons can be installed (added) by logging into your UD Google account:

NOTE: The free versions of asterisked (*) tools are limited; some features require a paid subscription, which is the responsibility of the user.

 

Requesting Add-ons

These additional Google services can be accessed by all UD Google users. Support of additional services is limited. Descriptions of many of these additional services can be found here under the heading “Services with an individual On or Off control”.
