Avaya Workplace: UD Soft Phone Setup

The following directions walk you through the steps required to set up a UD soft phone on your UD-managed Android, iOS, MacOS or Windows device. Using the soft phone allows you to make and receive calls on your smartphone or computer as if you’re calling from your UD office Voice-Over-IP (VOIP) campus phone.

Since options can look a little different based on your device type and operating system, the directions might not match exactly what you’ll see on your device. They should be close enough to help you navigate the setup, but if you encounter any problems, reach out to our IT Service Center for assistance.

Step 1: Install and enable the security certificate

For the soft phone to function on your smartphone, or the Workplace Client to function on a computer, you must install a security certificate on your device. 

To receive a security certificate, first submit an Avaya Workplace Request.

If the directions below don’t match what you’re seeing on your device, look for  a “search” or “help” feature in your device settings and search for directions to “install a security certificate”.

Download the security certificate

  1. On your phone, open the email from UDit containing the security certificate. If you did not receive an email, submit an Avaya Workplace Request.
     
  2. Tap the attached file SystemManagerCA.cacert.crt and select Download.
     
  3. If prompted for installation permission, enter your device’s passcode or PIN and tap OK or Done to continue.
     
  4. Enter a Certificate Name. Consider something like “UD Office Phone” or “AVAYA Workplace” so you’ll remember what this certificate is for.
     
  5. For Credential use, choose VPN and apps.
     
  6. Tap OK or Install.
     

Install and Enable (or “Trust”) the Security Certificate

If your device doesn’t automatically enable the certificate when you download it, you may need to do this manually. This process is likely to vary depending on your device, but the process should be similar to one of the following.

When you are finished with the security certificate, proceed to Step 2: Install and Connect to UD’s Virtual Private Network (VPN).

 

Windows PC Security Certificate Procedures
 

  1. On your computer, open the email from UD’s IT Service Center containing the security certificate
    (an attached file titled SystemManagWindows PC ProcedureserCA.cacert)
     
  2. Download the security certificate to your computer.
     
  3. Double-click the downloaded file and select Install Certificate to launch the Certificate Import Wizard.
     
  4. When asked to choose a Store Location (Current User or Local Machine), select Current User, then click Next.
     
  5. When prompted to select a certificate location, select Place all certificates in the following store, then click Browse.


     
  6. Select the Trusted Root Certification Authorities store and click OK.


     
  7. In the Certificate Import Wizard page, click Next and Finish.
    NOTE: If you receive a security warning at this point, click Yes to accept the certificate.
     
  8. Proceed to Step 2: Install and Connect to UD’s Virtual Private Network (VPN).

 

Step 2: Install and Connect to UD’s Virtual Private Network (VPN)

Your smartphone or UD-managed PC requires a connection to UD’s Virtual Private Network (VPN) to access the UD Voice Over IP (VOIP) phone system.

Step 3: Install and configure the Avaya Workplace app

  1. Find and install the Avaya Workplace app from the App Store / Play Store.


     
  2. Launch the app and locate the app Settings (generally a “gear” icon).


     
  3. Under Accounts, enter the following settings:

    Extension: Your 5-digit on-campus phone extension (e.g., 91234)
    Password: 123456
    Turn on Remember Passwords

    NOTE: Don’t click the “Connect” button; it won’t work at this stage of the setup.


     
  4. Tap DONE and return to the Settings menu.
     
  5. Select Services. Verify your options match the image below (Phone Service should be turned on; all others should be turned off).


     
  6. Next, tap to open the Phone Service settings and enter the following (as shown in the image below):

    Server Address: 10.30.252.15
    Server Port: 5061
    Domain: phone.udayton.edu


     
  7. Tap Done and return to the Settings menu.
     
  8. Select Advanced and turn on Dialing Rules as shown below.


     
  9. Tap Done to finish.
     

Windows PC Procedures
 

  1. Go to the Windows search bar and type Portal.  The Portal Manager App appears in the Best Match section of the search results.  Click on the Portal Manager link.


     
  2. Locate the software package for Avaya Firewall Rules. Click the Install link, and follow the installation prompts.


     
  3. Go back to the Portal Manager and locate the software package for Avaya Workplace. Click the Install link.


     
  4. Click Next.
     
  5. Click the check box to accept terms and license agreement and then click Next.
     
  6. At the Choose Setup Type window, choose Custom.
     
  7. Launch the Avaya Workplace application and click Configure my account.
     
  8. Instead of entering your email address when prompted, click the gear icon in the upper-right corner and select Manually configure (Expert mode).


     
  9. In Settings, select Services and Show Details.

    Under Phone Service, turn on Use TLS, enter the following information and click Back:

    Server Address: 10.30.252.15
    Server Port: 5061
    Domain: phone.udayton.edu

    From the Services screen, scroll down and select Voicemail to enter the System Number: 92525. Click Back.

    Ensure all other Services are turned Off.
     
  10. Select Advanced and open Dialing Rules.

    Enable the Dialing Rules.

    Enter the following information and click Back:

    Number to Dial Outside Line: 8
    Country Code: 1
    Area/City Code: [leave blank]
    PBX Main Prefix: [leave blank]
    Number to Dial Long Distance: 1
    Number to Dial International: 011
    Length of Internal Extensions: 5
    Length of National Numbers: 10
     
  11. Select Accounts and enter the following under Phone Service:

    Extension: Your 5-digit on-campus phone extension (e.g., 91234)
    Password: 123456
     
  12. Click DONE You’ll be prompted to RESTART Avaya Workspace.

    NOTE: After you RESTART the software, you’ll see an Avaya Tutorial. This is a helpful overview of the tool, but be aware that UD doesn’t licence all the services described.

    Your Avaya Workplace Client for Windows should now be configured. Make sure you’re connected to UD’s VPN (if you’re away from campus) and Sign In to begin using Avaya WorkPlace.
