ProctorTrack for Instructors

ProctorTrack is an online proctoring service integrated into Isidore that may be used at the discretion of a professor to ensure a secure and fair testing environment for all students in their classes. ProctorTrack monitors and records each student’s testing session through automated software. While completing a test in Isidore the ProctorTrack software will record the test taker's screen as well as their webcam and microphone. The ProctorTrack software will then review each test session and flag any suspicious activity. Instructors (and only instructors) will be able to review recordings of each student’s testing session in their classes and check any flags that were raised by ProctorTrack.

NOTE: ProctorTrack should only be used for high-stakes exams in fully online courses.

Setting Up an Onboarding Assessment in ProctorTrack

Instructors that would like to use ProctorTrack in one of their classes should complete the ProctorTrack Set up Request form. Requests must be submitted 1 week in advance of the exam. The Center for Online Learning will take over from there and guide you through the steps that you and your students need to follow to ensure success.

Communicating ProctorTrack Guidelines with Students

The most important part of using ProctorTrack is communicating with students to make sure they understand the process clearly. That explanation should include why you'll be using it in your class. The greatest benefit to students is that it creates a secure and fair testing environment for all students.

All students will need to complete an Onboarding Assessment via ProctorTrack in your site before they will be able to use ProctorTrack to complete a 'real' course assessment. We recommend that students complete that onboarding assessment at least 2 days before the class assessment. This gives them plenty of time to work through any potential problems if they don't pass the Onboarding assessment in their first attempt. The Center for Online Learning will set up the Onboarding assessment in your site for you and share directions with you that you can pass along to your students. The best way to get started is to complete the ProctorTrack Set up Request form. We'll take over from there and guide you through the steps that you and your students need to follow to ensure success.
 

Using ProctorTrack on Your Own

The Center for Online Learning would love to help you set up the ProctorTrack Onboarding assessment in your site the first time and assist with the student communication piece but instructors are free to set up future assessments that will require ProctorTrack on their own after that.

Reviewing ProctorTrack Session Recordings

48 hours after a test session has been completed by a student the instructor is able to access the reviewed recording. That recording will include the students webcam recording, microphone audio, and screen captures of their computer while they were taking a test. They will also be able to see any flags that were raised by ProctorTrack alerting them of potential academic dishonesty incidents to review. The fact that a ProctorTrack raises a flag does NOT mean that cheating occurred. The instructor needs to review all flags to determine if something inappropriate did occur.

Do I have to use ProctorTrack for assessments in my online or blended classes?

No. The use of ProctorTrack is completely optional and 100% up to each individual instructor.
 

How do I get started with ProctorTrack?

How do I add the ProctorTrack tool to my Isidore site? I don't see it in the tool list.

The Center for Online Learning has to manually add the ProctorTrack tool to your site. You can fill out the ProctorTrack Set up Request form to initiate that process or send an email to onlinelearning@udayton.edu to have it added.
 

How can I set up ProctorTrack for a student that needs to take an assessment outside of the normal window?

Instructors must add a date & time exception on the published assessment in the Tests & Quizzes tool and in the ProctorTrack tool. This video walks through the steps to set up a time exception.
 

When will I be able to review the students' recordings?

Instructors will be able to see raw recordings about 12 hours after the student completes the test. That will not include any flags or notifications of potential issues. Instructors will need to wait approximately 48 hours from when the test is completed before the full report is available.
 

What should I do if a student requests an alternative to a proctored exam?

That is generally up to you. If you feel there is a reasonable accommodation that can be made and the situation warrants an exception, go for it. Depending on the situation you may want to email onlinelearning@udayton.edu to confirm how best to get the student access to the test outside of ProctorTrack.
 

How can I complete a ProctorTrack test myself so I know what it's like?

If you send an email to onlinelearning@udayton.edu and asked to take a proctored test as a student we will be happy to add you to a demo site where you can do that.
 

How do I set up ProctorTrack to let a student take the assessment at a different time than the rest of the students?

After adding the exception for the student to the assessment in the Tests & Quizzes tool in your Isidore site you need to click on the options icon next to your assessment listing in the ProctorTrack tool and click on the 'Extend Date' option. On the next page you can select the student that should get a different time and add in the new/different open and due dates. This will give the student the option to use ProctorTrack outside of the main testing window.
 

A student ran into a technical problem during the test. How should I handle this?

There are a few things to consider. First, if the student is having a problem with the ProctorTrack software you should direct them to contact ProctorTrack directly for help with the issue at hand. ProctorTrack provides 24x7 phone, chat, and email support. Students can connect with ProctorTrack Support here. You may also need to adjust the test settings to allow the student a second attempt. That may or may not involve adding a time exception if the test window has already closed. You can always reach out to onlinelearning@udayton.edu for assistance with these types of problems.
 

A student keeps failing the onboarding assessment. What should I do?

If a student is truly unable to capture their ID and face-scan to pass the onboarding assessment, you can manually 'pass' their failed onboarding assessment. We recommend doing this ONLY in emergency situations because the student will have an incomplete profile. Here's a demo video showing how you can manually pass a student's onboarding assessment.
 

If I think a student cheated, what should I do?

This is generally up to you as it would be during a cheating situation that would occur in a classroom. We would encourage you to discuss this first with your Department Chair and follow and departmental or school policies. In the event that cheating did occur you may also need to go the Tests & Quizzes score page for the test in question and remove points from the student.
 

How long are student recordings available?

Student recordings are removed 180 days from the date of the recording.
 

How do I change test settings in ProctorTrack to allow specific resources to be used by students?

Instructors can edit the Test Settings for each individual test that uses Proctor using the Options menu to the right of each test in the ProctorTrack tool. The 'Test Settings' tab on the page that opens is where instructors can allow or disallow things like calculators, scratch paper, short breaks, etc.
 

How can I view recordings of each student test session?

Instructors can view test session recordings by clicking on the View Sessions link to the right of each test in the ProctorTrack tool.
