Campus Phones FAQ

Avaya Workplace

If a user selects the softphone, is that in place of a desk phone?

The softphone app can fully replace the desk phone. However, we are giving users the option to select the phone type they want:

  • Desk phone
  • Softphone (replace desk phone completely)
  • Hybrid (keep desk phone and install softphone application).

Do I need a headset for Avaya Workplace?

No, but it is highly recommended with a computer or laptop for the best audio quality.

Can I use Avaya Workplace on multiple devices?

Yes, by default you can use up to 3 devices. To increase the number of devices allowed, please submit a Telephone Service Request.

If using the softphone with your personal phone, can you silence calls outside of work hours?

Yes. To stop receiving business calls, sign out of the Avaya Workplace application. It is best practice to sign in/log out every day.

If an employee leaves, can their replacement choose a different phone option?

Yes. The new employee will get the option when they onboard with UD.

Who will be filling out the survey for phones that are shared or answered by students?

No need to fill out the survey for the shared phones. For departmental/shared phones, these will remain as desk phones only. There is a 1:1 match up for extension to users, thus shared stations cannot register with Avaya Workplace. If you prefer students to use softphones, they would each need an extension assigned per user. As student employees change, it is the responsibility of you (or another team member) to submit a Telephone Services Request to update the user for the extension in order to register the softphone with a new person.

Getting Started & Setup

My phone is prompting for a login and a password, can you help?

Enter your 5-digit extension as the Login and the Default Password (123456 in most cases).

What if I work from home part time?

Please visit the Campus Phone Recommendation Guide to help find the best fit for you! You can use a desk phone while on campus, and the Avaya Workplace softphone while working remotely.

How will UDit handle call center phones?

UDit will migrate call centers / contact centers as a separate initiative following the deployment of user phones.

We have 5 phones that roll until someone answers - does that make a call center by your definition?

While this is a special configuration for your team, it is not considered a call center on our end. We intend to maintain these special configurations when your phones are scheduled, and thank you for bringing it to our attention in advance! That being said, when you submit your survey, there is a question (Is there anything else you would like us to know about how you use your phone?) to share additional details about how you use your phone. Please be sure to include the details here when completing the survey. If you list the affected extensions in this field, we will ensure they are addressed accordingly.

What happens when an extension is reassigned?

To reassign an extension to a new user, please submit a Telephone Service Request.  It is likely that they need a voicemail password reset, an updated email recipient for voicemail to email, and an updated login/user email for Avaya Workplace (if applicable).

Managing Calls & Voicemail

How do I forward my extension to my cell phone?

Tap the Call-Fwd key on your phone & insert the destination telephone number. If you are a remote worker (or hybrid), visit go.udayton.edu/phone for more information about Avaya Workplace.

How do I forward my voicemail to email?

Submit a Telephone Service Request.

Security

I received an email about my voicemail, but I'm not sure if this is from UD or not. Can you help?

If you're not sure, it's most likely spam! The UD voicemail to email feature/function/enhancement sends the attached .wav file of your new message, as well as a few other key indicators. Check for the following in the email recipient address:

From: voicemail@udayton.edu

Mailed-by: udayton.edu

Security: Standard encryption (TLS)

I’m getting a ton of spam calls, some even looking like a UD phone number - can we block these calls?

It is unfortunate that this is happening to numbers associated with the University. But, we are not able to block incoming numbers from being able to call you or to prevent spammers from using your number to make calls.

Office Moves

If I am moving office locations, can I move my phone myself?

No. The Telecom team is required to validate your extension location and user provisioning due to e911 compliance. Please submit a Telephone Service Request.
