UDit Project Tracker SOP

Purpose & Scope

To ensure we maintain a current view of all ongoing projects across the UDit family, we are instituting a routine update schedule for the Project Tracker. This RFI will be issued twice per month (on/about the 1st and the 15th).

Procedure

  1. View Project Tracker
  2. Follow "Instructions" in Google Sheet
  3. Existing Projects: Update status, start, and end dates in the Active and Planned tabs.
  4. New Active Projects: Add any new initiatives to the Active tab.
  5. New Planned Projects: Add upcoming initiatives to the Planned tab.

Note: This tracker is for internal team projects only. If a project is already managed by the Project Management team, no additional updates are needed here. I've added PMO-managed projects to this list for reference.

Future State: TDX Transition

Our goal is to centralize all project data within TDX. This tracker serves as a bridge to ensure internal projects are captured. The PMO will create "shell projects" in TDX based on this tracker and will reach out to the listed Project Managers for additional details (e.g., portfolio alignment, budget, and milestones) as needed. We aim to keep this process as lightweight as possible.

PMO Dashboard

These projects will feed into our PMO Dashboard to provide transparency for the C-Suite and Portfolio Oversight Committees. The dashboard is currently a prototype; please share any suggestions for improvement. Internal team projects will be visible once this update cycle is complete.

Reference Definitions

  • Project: A temporary endeavor with a defined start/end date and a minimum effort of 80+ hours.
  • DME (Development, Modernization, Enhancement):
    • Development: Designing, coding, and deploying (internal or vendor-led).
    • Modernization: Upgrading infrastructure/systems for cloud, AI, or security.
    • Enhancement: Improvements to existing systems. Note: Enhancements under 80 hours should be categorized as O&M.
  • O&M (Operations & Maintenance): Routine "Break/Fix" or "Keep the Lights On" activities.
