Service Overview

University of Dayton Graduate Academic Affairs. Instructions for Completing the Certification Request for Half-time, Full-time or Continuing Service Status (This form is for graduate student use only). International Students (J1 or F1 VISA Holders): You DO NOT complete this form. Please complete this form through ISSS for each semester you are needing approval.

Course load requirements vary by department. In order to be considered full-time or half-time in the UD student information system, a graduate student must generally be registered for a minimum of 6 or 3 semester credit hours, respectively. However, there are occasions when a student might be completing a course or other degree requirements, but not pursuing a full- or half-time program of study in the usual sense.

  •  Full-Time Certification: a student is engaged full-time in the completion of a graduate program.
  •  Half-Time Certification: a student is engaged half-time in the completion of a graduate program.
  •  Continuing Service Certification: a student is working on course(s) requirements but is engaged academically needing access to university services such as the library or access to labs. 

If the certification is approved, the student’s status is available electronically through the student information system. This information can be accessed by various offices on campus, such as housing, financial aid, payroll, the library, and international student services. It is also reported electronically at least twice per semester to the National Student Loan Data System.

Certification requests should be submitted prior to the beginning of a semester and will not be accepted after the published last day to add a class. Please follow the guidelines below when completing this form:

  • Submit certification requests prior to the beginning of the semester. (The form cannot be submitted for approval until registration for that semester begins.) Certification requests submitted after a semester begins could be denied and cause delays and could affect eligibility in the financial aid process. Deadlines are: 
    • Fall Semester is August 1
    • Spring Semester is January 1
    • Summer Semester is May 1
  • Only current semesters may be verified. Past and future semester requests will not be processed.
  • You may not be certified for more than three semesters, excluding summers.
  • Students who require notification to offices outside of the University must make a request through the Office of the Registrar.
