Configuring UD Mail on Mobile Devices

Summary

Configure and secure your personal and/or UD-owned mobile devices.

You can configure your mobile device(s) to access your UD email, calendar and documents on the go. Follow the configuration instructions below for your device type / preferred application:

 

Gmail app (Android or iOS)

  • Google provides a native Gmail app that comes preinstalled on Android devices. On iOS, it can be downloaded here.
     
  • This app gives access to your full mailbox and also functions as the main app for Google Chat, if you take advantage of that feature.

Android OS mail app

  1. Open Settings.  Navigate to Accounts > Manage accounts > Add account.

  2. Select Google.

  3. Log in using your UD account credentials.

  4. Proceed with 2-factor authentication.

  5. Click on your Google Account under Accounts and check off which apps you want synced to your device.
     


Apple iOS mail app

  1. Open Settings. Navigate to Mail > Accounts > Add Account.
     
  2. Select Google.
     
  3. Enter your full UD email address (ex. rflyer1@udayton.edu) and password.
     
  4. If you see Next, tap Next and wait for account verification.
     
  5. Proceed with 2-factor authentication.
     
  6. Select Mail and any other Apps you want your account to use.
     
  7. Press Save.
     

Mobile device security

If you’re checking your UD Gmail or other resources from your smartphone, take steps to keep your device and data safe. Here are some recommendations:

  • Physically label your device with your name and a phone number at which you may be contacted.  Be sure to note your device's serial number in your own records.
     
  • Install operating system and application (app) updates as soon as they become available.
     
  • If your device supports encryption, enable it.
     
  • Set a reasonable, hard-to-guess password.  4-6 digits are acceptable if used in combination with an auto-erase policy (see #5 below).
     
  • Set your device to auto-erase after 10-15 failed login attempts (if available).
     
  • Set your device to auto-lock after 10-15 minutes.
     
  • Periodically back up the contents of your device and check that you aren't storing any sensitive documents.
