25Live Event States

Draft

• The event is being created, and locations or resources are held as preferences but not fully reserved.
• Can be used to allow requestors to edit the event.
• Does not secure/hold location at this state.
• An event "draft" is in a transitional state, not currently in the permanent event database. The locations and/or resources of events with a Draft state are saved as preferences, not assignments, and can be assigned to other events.

Tentative (default state for new requests)

• The event is in the system and holds a space, but it requires further or final approval from a scheduler.
• Locations and resources can be assigned to these events.
• Events with a Tentative state can be edited by users with access to that state. This generally applies to location schedulers and room approvers.

Confirmed

• The event is officially approved, and location and resource arrangements are locked in.
• Events with a Confirmed state can be edited by users with access to that state.
• Note: If an event's Event State is changed to "Confirmed," the tasks in that event are not automatically completed (nor are they required to be completed to change the Event State).

Denied

• Indicates that a location request has been refused by a scheduler.
• Locks into the event to prevent further edits.
• Serves as a final status for the request.

Cancelled

• The event is no longer taking place, and all associated room/resource reservations are released for re-assignment.
• Tasks are canceled.
• Events cannot be edited.
• NOTE: If an event's Event State is changed to "Confirmed," the tasks in that event are not automatically completed (nor are they required to be completed in order to change the Event State).
